FAQs – Relocation to DEWA ‘Al Shera’a’

How will the physical move be organised?

A: Each division will be supported by Al Shera’a Champions, with clear packing instructions and on-site support on the scheduled move day.

Do I need to disconnect and pack my desktop, monitor, or docking station?

Employees should pack personal items only considering that there are a limited office space and drawers. IT equipment (desktop/laptop, monitors, docking stations, phones) will be handled and installed by the IT support team as per the move plan. Regarding IT devices, please note that employees will be allowed to take only one laptop and their desk phone, which will be set up and configured by the on-site IT support team. Desktop computers, monitors, and other devices are not permitted in the Al Shera’a building. Employees must submit a request through Khadamatech to replace their desktop device with a laptop.

What should I do before moving day to avoid losing files or access?

Please ensure you:

  • Back up important files to approved DEWA storage platforms
  • Save work to shared drives / approved cloud locations (if applicable)
  • Close all open files and log out from systems before move day
Will internet and Wi-Fi be available immediately?

Yes. Wired and wireless connectivity will be available in Al Shera’a. Any connectivity issues can be reported to on-site IT support during the transition.

Who do I contact if my laptop/phone is not working after relocation?

You may contact the IT Helpdesk or approach the on-site IT support team available during the move-in period.

Will my access card and system access work in the new building?

Yes. Access permissions will be arranged in coordination with the relevant teams. If you face any access issues, please coordinate with your department’s coordinator.

Will IT support be available on the move day?

Yes. Dedicated IT support teams will be available on-site to assist with workstation setup, connectivity, phones, and urgent technical issues.

Will IT Provide me with Laptop instead of the desktop for Al Shera’a?

Yes. IT will provide laptops for all DEWA staff who does not have laptop based on their request through ‘Khadamatech’ since there will not be any desktops PC’s in Al Shera’a.

If a staff member is on leave during the shifting of IT assets (such as a laptop)?

The end user must coordinate with the department coordinator for the shifting or replacement of the desktop to a laptop, as well as managing the data backup and transfer.

What process to be followed if staff holding multiple assets?

Each user is eligible for one laptop. Therefore, any additional assets must be returned through Khadamatech under the category ‘Return IT Asset’.

What process to be followed If a staff member holds only a desktop?

The end user must apply for a request in Khadamatech under the category ‘Request Support for Devices/Equipment’ for the replacement of the desktop with a laptop.

What should I do if I have Office equipment such as a TV, Projector, etc.?

Office equipment is not allowed to be shifted, as the Al Shera’a Building is already equipped with the necessary technology. Therefore, any such equipment must be returned through Khadamatech under the category ‘Return IT Asset’.

When is the move happening?

The relocation will take place in phases.  Each department will receive its confirmed schedule via official e-mail prior shifting.

Why are we moving to Al Shera’a?

How will the physical move be organised?

Each division will be supported by Divisional assigned Coordinators, with clear packing instructions and on-site support available on the scheduled move day.

Do I need to pack my items myself?

Employees are required to pack personal items only keep it minimal. The relevant support teams will handle office furniture and shared assets as per the move plan.

What facilities are available at Al Shera’a?

Al Shera’a includes meeting rooms, focus rooms, prayer areas, wellness spaces, food outlets, and shared collaboration zones.

How can I access the Al Shera’a building?

Access to the building is available through authorised entry points. Employees must follow the official access process and comply with building security and safety requirements.

Is Al Shera’a accessible by metro?

Yes. Al Shera’a is accessible via the Dubai Metro- Al Jaddaf station, through an exclusive tunnel to the building. Employees are encouraged to use public transportation where possible.

Will there be guidance on the best routes and transportation options?

Yes. A transportation guide will be shared, including recommended routes, metro directions, and arrival instructions to support a smooth transition.

Are we allowed to move our personal coffee machines?

No. The designated pantry and refreshment areas are already equipped with coffee machines and the necessary equipment in accordance with LEED and WELL specifications, ensuring alignment with the building’s power consumption standards.

Are we allowed to move existing chairs, footrests, or laptop stands?

No. The furniture provided already meets the highest ergonomic standards to support employee wellbeing.

Can I bring my own food?

Yes. However, you must ensure that food is consumed only in the designated dining areas.

Can I bring my own office plants?

No, indoor plants have already been distributed on all floors according to the approved design.

What should I do in an emergency?

  • Please follow the instructions of the Emergency Response Team (Emergency Controller, Fire Wardens, First Aiders and Security) and respond promptly to alarms during emergencies.
  • Leave the building using the nearest safe exit and refrain from using lifts during evacuation.
  • Close all doors behind you as you leave.
  • Proceed to the nearest assembly point located outside the building.
  • Do not stop to collect personal belongings.
  • Do not reenter the building under any circumstances until the Emergency Controller gives the ‘All Clear’.
Where can I find evacuation routes?

Emergency evacuations plans are clearly displayed at all clearly marked locations – near lifts, stairwells and in common areas.

Will fire drills be conducted?

Yes. An annual mock fire drill is carried out to ensure everyone knows the procedure.

Where are fire safety facilities located?

  • Fire extinguishers, fire alarms and hose reels are available on every floor.
  • Emergency exits are displayed with clear signage and illuminated.
Who are the Fire Wardens?

Fire Wardens are trained personnel assigned to each department/section to assist in case of an evacuation. They can be identified during drills and emergencies by their red vests.

Are firstaid kits available?

Yes. Every department must have a first-aid box maintained by the assigned personnel of the department.

What if I feel unwell or someone is injured?

Inform your First Aider, HSE Coordinator or supervisor immediately.

Who are the First Aiders?

First Aiders are certified personnel in each department that are trained to assist in medical emergencies.

Are workstations ergonomically safe?

Yes. Workstations have been ergonomically designed to support both safety and comfort.

Mental Health & Wellbeing

  • Know who the Mental Health Champions/Mental Health First Aiders are.
  • Be aware of psychological and psychosocial workplace risks.
  • Understand the ESHTISHARATI programme process.
What should I do if I notice a hazard/near-miss/unsafe behaviour/unsafe condition?

  • Report any hazards promptly to your supervisor, Health & Safety Coordinator or via the official reporting system.
  • Early reporting is crucial to preventing accidents.
Your Responsibilities

  • Familiarise yourself with all evacuation routes.
  • Identify your appointed Fire Wardens and First Aiders.
  • Participate actively in scheduled drills.
  • Ensure that walkways remain unobstructed.
  • Report all hazards as soon as they are identified.
  • Comply with all posted safety signage.
